Here is a "Timely" Idea

Do your meetings end on time? Would most of the people attending agree that the time in the meeting was well spent? Do people attending get practical, important and timely information in an interactive and interesting way? If you answered no to any of these questions, or if you think other people who attend your meetings would answer no, then read on.

We can easily spend hours a day in meetings, whether they are informal meet-in-the-hallway types or formal sit-down-in-the-conference-room types. They are essential vehicles for communicating information as long as they are efficient.


 

How to Keep Meetings on Time!

Here is one of the best ways for keeping meetings on time. Its called a time-allotted agenda.

A time-allotted agenda is an agenda that shows the start time and stop time for each item on the agenda. Couple the time-allotted agenda with a timekeeper, someone who watches the time and let's the speaker or the participants know when time for that agenda topic is coming to a conclusion. Just having a time-allotted agenda and a timekeeper can work wonders to keep meetings on schedule.

You should also make sure that any speaker knows ahead of the meeting how much time he or she has been allotted, have the timekeeper remind him or her just before beginning the presentation again how much time is allotted and let him or her know that the timekeeper will be letting him or her know when there is 5 or 10 minutes left and it will be time to wind up and when time is up and the presentation must end.

Unfortunately, most of us can probably remember a meeting where the first speaker or part of a program ran over and everyone scheduled after had to either cut their presentation short or also be guilty of running over. When this happens it creates a poor tone for the meeting and diminishes the quality of the information presented.
